Most software demos show you a list of features. I would rather show you a day.
Meet Mike. He is an electrician in Cape Town; he works alone, and like most tradespeople, he does his best business on site and his worst at the kitchen table at 21:00, typing up quotes from scribbled notes.
Mike is fictional, but his day is not. It is the day I have watched countless tradespeople live, and the day QuoteGenio was designed around. Over the past few months, we’ve refined the product constantly, improving it every day based on how real people use it.
So let’s follow one quote, from the moment Mike finishes a site visit to the moment the money lands.
07:40 | Talk: The Quote Builds Itself
Mike has just finished a kitchen inspection in Claremont. The client wants a new distribution board, four extra plug points and LED downlights in the ceiling. Old Mike would write that on the back of an invoice book and promise to “send something tonight”.
New Mike stays in his bakkie, opens QuoteGenio on his phone and describes the job. He can type it, or, on the premium plan, say it out loud. He can even snap a photo of the job and let QuoteGenio work from that.
Within seconds, the AI turns his description into a structured quote with proper line items: the board, the circuit breakers, the plug points, the downlights, labour and the certificate of compliance. It suggests the things he would normally charge for and sometimes forgets. Mike checks the prices, tweaks two of them, and that is it.
No blank page. No copying last month’s quote and hoping he changed the customer’s name.
07:44 | Send: Straight to WhatsApp
Four minutes after leaving the client’s front door, the quote is ready to go. Mike taps send and chooses WhatsApp, because that is where his clients actually reply. Email works too.
The client does not receive a blurry photo or a PDF they need to download. They get a secure link that opens beautifully on their phone, with Mike’s logo, his business details, and every line item laid out clearly, no QuoteGenio watermark, just Mike’s brand.
Before he has even started the engine, his quote is sitting in the client’s chat. Most of his competitors have not opened their laptops yet.
11:15 | Opened: The Follow-Up That Lands
Mike is halfway through another job when he checks QuoteGenio. The Claremont quote shows as viewed. The client has opened it.
This is one of my favourite features because it changes the whole game of follow-up. Without it, tradespeople guess. They wait three days, send an awkward “just checking in” message, and often discover the client already booked someone else.
Mike does not guess. He knows the client is looking at his quote right now, so he sends a short WhatsApp: “Hi, happy to answer any questions on the quote. I can start next Tuesday.” Perfect timing, zero pressure.
13:30 | Accepted: Yes, From the Couch
The client has one question. They would like dimmable downlights instead of standard ones. Instead of a phone call and a rewritten quote, they request the change directly from the quote link.
Mike updates the line item, and the quote refreshes. Twenty minutes later, the client taps accept—no printing, no signing, no scanning a page and emailing it back. Just a yes, with the job confirmed for Tuesday.
The easier it is to say yes, the more often people say yes. That is not a feature. That is the whole point.
Tuesday, 16:30 | Done: One Tap to Invoice
The job is finished, the downlights are dimming nicely, and the client is happy. Mike does not go home and retype everything into an invoice. He opens the accepted quote and converts it into an invoice with one tap. Every line item, price, and client detail carries straight across.
He sends the invoice on WhatsApp before he packs his tools away. QuoteGenio tracks whether it’s been paid, and if the client forgets, it can send a reminder so Mike doesn’t have to chase awkwardly. For regular clients, premium users can set up recurring invoices that send automatically.
Old Mike would have written the quote by hand, then sat down at the kitchen table to rewrite it as an invoice. This is the opposite of that.
The Extras That Make It Feel Like Magic
The daily flow is the heart of QuoteGenio, but a few extras are what turn it from a handy app into a proper business tool.
- Business reports. See revenue, quote conversion rates and which clients and services earn the most, so you know which jobs to chase and which to drop.
- Free trade calculators. Markup and margin, hourly rate, deposit, and VAT calculators, so your pricing is based on numbers, not gut feel.
- Trade-specific presets and templates. Ready-made quote and invoice templates for plumbers, electricians, handypersons, cleaners, mechanics, removals companies and many more.
- Multi-currency. Works just as well for a one-person business in Cape Town as for a small team in London or Ljubljana.
- Phone-first, desktop-friendly. It runs in your browser on any device, with nothing to install.
And because I am improving it every day, this list keeps growing. Feedback from the tradespeople using it shapes what comes next.
Your Turn
Mike’s quote went from a voice note in his bakkie to an accepted job before lunch, and to an invoice before he left site: no kitchen table, no 21:00 admin, no lost jobs to slower competitors.
If you are a tradesperson or run a service business, try it on your next real job. QuoteGenio has a forever-free plan with up to five quotes and two invoices a month, no credit card and no watermark. Quote one job and see how it feels.
